How do you face the daily tasks at work? And the unexpected tasks?
Time management is one of the most relevant tools to increase productivity, concentration, and, when necessary, creativity. Therefore, you will be able to perform, be active, and be organized at work by knowing how to manage and prioritize tasks throughout the day.
Probably you already have your tactics to perform at work, as the amount of work and pressure change between positions. Nonetheless, at Axxon we want to give you some techniques that can work for everyone to get results on both busy and calm days.
-
Make lists of all the tasks. Every day, at the beginning or end of the day, write a list of all the things you have to do. Updating the list recurrently will ensure that you have all the tasks in mind and written so that you do not forget any of them.
-
Prioritize. Once you have all the tasks written down, think, what is the most important thing? Mark them clearly with a highlighter, write them a post-it... If it is difficult to define the tasks' importance, we recommend that you look at some aspects like the deadlines, which activities involve other people, among others.
-
Write a separate list with the less relevant or “maintenance” tasks to perform in times of less activity. The goal is to remember those mandatory tasks that maybe do not have a deadline or are for maintenance, and by having them written down, you can check the list when you feel collapsed or bored.
-
Establish timings for each task. Although it may seem difficult at first, it is very good to organize in advance how much time you dedicate to each task (or rather, which ones you will do in the morning/noon/afternoon). Therefore, you will avoid spending too much time on little tasks. It is important to be realistic and not want to do the impossible.
-
What about the unexpected tasks? Having all the assignments written down will help you have a mental framework of all the work. Consequently, you will know how to relocate the unforeseen tasks in the list of priorities. It is a way to prevent emergencies from distracting you from your tasks and thus, try to prevent deliveries from being delayed and the feeling of having unfinished tasks.
-
Keep it real. Try to be consistent with these techniques so that, over time, you will be surer about how you develop at work and organize yourself more realistically. At first, you may write down too many tasks or not manage well the unexpected tasks, but with experience, you learn.
Do you apply any of these techniques in your day-to-day life? And at work? Ideally, you should write down everything on a notebook or blog to be consistent and not miss anything. You will see how you end up adapting these techniques to your routine and tasks, as well as the time you dedicate to each one.
In this article, we have explained the most basic pen and paper techniques. However, today many other programs help manage and organize tasks within the work team. The method to use will surely depend on the company where you work!
We encourage you to start making lists and take advantage of all your talent!
